After a rigorous selection process, the Central Bank of Paraguay chose K2B to carry out the implementation of our integrated management solution (GRP) that will automate its accounting, financial, administrative and human resources processes.
The project started at the end of 2019, when in consortium with CPA Ferrere we initiated the work with the BCP team. There, the multidisciplinary team was introduced, including project manager, change management, functional leaders and key users.
The scope of the project includes Financial Management, Accounting, Human Talent Management, Administrative Management, Purchasing and Contracting and Document Management. Its implementation is estimated to take two years, prioritising all the needs of the organisation and the optimisation of resources.
It is worth noting that as of 11 March 2020, the operation was carried out remotely, a decision that was taken to protect the health of both BCP staff and the team.
However, despite the challenge of working in a "new normal", the team adapted its strategy, coordination efforts were multiplied and through constant communication the project was able to move forward smoothly.
In this first phase, the files modules (K2B GESDOC) and those corresponding to the Purchasing and Contracting and Supplier Payment processes (Requests, Purchases, Agreements, Accounts Payable, Treasury) were implemented. It should be noted that K2B GESDOC is a cross-cutting module for the whole Bank and in the first month 1200 files had already been entered through the new system.
The Purchasing and Contracting process begins with the preparation of the draft Annual Contracting Plan (PREPAC) and ends with the payment of the invoice presented by the awarded supplier, going through the entire process of the call for procurement, awarding, control and monitoring of the contract and payment to suppliers.
Finally, on 1 February 2021, two major modules went into production: Budget and Central Bank Accounting.
This milestone is a first step towards a more efficient Bank, optimising time, human resources and less use of paper. We replaced 17 systems in a single one, allowing integrated management of operations, greater control and transparency over processes, thus improving the quality of information and therefore decision-making.
